he Administration Office is headed by Administration Officer as the team leader. S(he) is the supervisor of the daily running of College business on a day to day basis. There are 37 members of staff to execute activities in these department.
Purpose
To provide support services to Tangaza College as a whole. It is the responsibility of the Administration Office to make sure that the learning environment is conducive at all times.
Mission
Tangaza College being a conglomeration of several disciplines under different Institutes and Schools requires a multidimensional approach to issues. Administration Office strives to make available all the support services necessary for daily operations of the various departments.
Departments in the Administration Office
Cleaning
The Administration Office is responsible for the general cleanliness of Tangaza College, both inside the buildings and the compound. To achieve this objective there are 16 men and women charged with this particular responsibility. They make sure that the classrooms are in good shape and ready for use at all times, the toilets are always clean with the necessary facilities. All are always available for any emergencies. Each of them is assigned a particular area of operation and s(he) is responsible for that particular area on all matters that need attention. Each of the buildings (Imani and Nuru) have a person to lead the team. They provide drinking water at strategic points within the premises of Tangaza College.
Gardening
In order to keep the attractiveness of the College, Administration Officer is also responsible for the up keep of the compound. There are three men working towards this end making sure the flower gardens are well taken care of. They too take care of the indoor flowers.
Plumbing and water services
A plumber follows water services and is in charge of water treatment and availability at all times in conjunction with electrical department that takes care of water plumbing from the college borehole. Plumbing department is also responsible for fire fighting equipments and follows closely the maintenance and service of fire extinguishers.
Electrical and Audio Visual Equipments
This unit is responsible for all lighting and provision of teaching aids that are generally used in the College. This includes Screen Projectors, PowerPoint presentation support, public address systems, repairs and maintenance of all electronic and electrical equipments. Television sets are also under this department. The team leader is a qualified electrician with the help of an assistant.
Photocopying Services
The college maintains well equipped photocopying services for official use. Photocopying staff is available for the services at all the times that the school is operational. Every institute/department has a well maintained account for all the copies done for the purposes of daily controls.
Stores
The College has a well stocked store with all that is needed for the daily use at the College manned by a storekeeper. The store stocks:
Stationery – All kind of stationery is available in the stores; this include, printing papers, pens, computer cartridges, computer parts, writing pads, examination booklets, e.t.c.
Maintenance items: Maintenance items and materials are kept in the stores. These include: toiletries, carpentry materials and items. Plumbing materials and items, gardening tools and items.
Procedure: Anyone can acquire things from the stores provided a requisition form is filled in, for the purposes of control and sign a control book.
Security
Security is of great importance in any organisation for the smooth running of our activities.
Guards:
We have five security personnel in the compound at anyone given time, two at the main gate of Langata South Road, one at the rear gate and one in each of the libraries. Their main role is to control access into the compound and other places that need such attention. They may search vehicles or individuals if they suspect of any unusual behaviour. During the day our own personnel take up the security services while at night we are covered by G4S security services guards with dogs. None, except those authorised is allowed into the compound during nonworking days and hours. Working hours are Monday –Friday 7:0am – 5:30pm and Saturdays 7:30am – 1:00pm.
Back-up services:
Backup services are provided by G4S Security Services 24 hours through alarm systems. All the buildings are armed with alarm systems. Only those authorised can access the building outside working hours. Principal, Deputy Principals, Directors, Chief Librarian, Administration Officer or their delegates.
Identification:
All visitors are required to report at the Langata South road main gate for the proper process. All visitors must attain a gate pass and a visitors tag.
Carpentry Workshop
Production: The carpentry is well equipped to carry out some production of our internal needs. These include production of lecture chairs, and other furniture as may be needed.
Maintenance: The carpentry workshop is also charged with the general maintenance of the college furniture including painting. The workshop is also responsible for setting up of platform during functions held in the open like graduations, opening liturgy among others. The workshop is headed by a very experienced carpenter with and assistant.
Canteen
The canteen is contracted to an outsider to run it on behalf of the college. It is the responsibility of the Administration Officer to make sure that the services are up to standard and that food is available at all times.
Duka
Like the canteen, the Duka is contracted to a third party to run it on behalf of the college. The services of the Duka include, photocopying services, stationary, airtime, pens, binding and other related services.
Public Relations
It the responsibility of the Administration Officer to keep good relations with our neighbours and visitors. These include suppliers, and those who may be interested with the college at all times. This is supported by the receptionists stationed in each of the buildings; Imani and Nuru.
Functions arrangement
All the functions that take place at Tangaza College are organised and coordinated from the Administration Office.
Mail delivery
The mails are collected daily from the post office and distributed immediately to the various departments. One member of staff is allocated to that duty. Postage of mails is done the same way daily including those put in the college’s post boxes.
Water:
The College runs and manages a borehole. Analysis of the suitability of consumption is done quarterly by the Ministry of Water and an independent consultant. Water is treated continuously with chlorine and monitored daily. It has been approved as good for human consumption.
Telephone:
Telephone services are available for official use through the college’s main reception.. The college has eight (8) landlines and two mobile lines.
Electricity and Generators
The college has two generators installed for emergency services while we depend mostly on the supply by the Kenya Power and Lighting Company.
Procurement
Procurement procedures are governed by financial policies of the college.
Keys Management
The Administration Office is responsible for all the keys of the College for ease of coordination and accessibility.
